Zi Zai is Hiring Full Time Office Manager

OFFICE MANAGER POSITION JULY 2017

Zi Zai Dermatology is a natural skin care clinic & shoppe located in Fort Collins, Colorado.  We offer Chinese Medicine dermatology, cosmetic acupuncture, and therapeutic massage services in our patient clinic.  We have a very busy herbal pharmacy where we fill patient prescriptions.  In addition, we handcraft herbal skin care products to sell online and in our shoppe.  We are currently hiring an office manager who can help us with patient scheduling, shoppe sales, and shipping online orders. We have a caring and fun team and are looking for a person who will enjoy working in a natural healthcare setting.

We are looking for an efficient person with the following qualifications:

  • Has some experience using accounting software. You do not need bookkeeping skills; you will just be doing data entry, such as entering inventory with bills and recording customer invoices and payments. We use Quickbooks.
  • Can pack and ship orders. You will need to carefully wrap items, put them in a box, and print out shipping labels using online software.  This part isn’t hard, but can get tedious.
  • Is comfortable learning new software/web tools. You will be navigating between our ecommerce software, shipping software, online scheduling (we use Schedulicity) and email management systems.  If you get stressed browsing the internet, hate checking email or have never shopped for anything online, this is not the job for you.
  • Is organized and can handle basic medical office duties. You will be responsible for patient scheduling and payments, answering phones, filing charts, and being the “front man” for our clinic.

In addition to the above skills, we are looking for someone with other traits that are important if you are going to work with us. We want to hire a dedicated, reliable, friendly person who:

  1. Is comfortable with direct customer service. You will have to return customer phone calls and emails.  This means you sometimes need to sort out why a customer is unhappy and find a solution to resolve their issue.  If you are a cynical grump, hate people, have no patience, or have a bad temper, this is not the job for you.
  2. Is responsible and trustworthy. Both patients and retail customers base their experience of Zi Zai Dermatology on the people behind the business as much as the products we sell.  Not only does the owner of Zi Zai need to trust you, but so do all the people we serve.
  3. Cares about our company. Zi Zai Dermatology is a small company and every one of us is passionate about our work here.  Maybe you cannot possibly care about this company as much as the owner does, but we are looking to hire someone who will give us their best each day.
